All reservations with HC Bike Tours are subject to the following Terms & Conditions of this Contract (hereinafter referred to as Terms & Conditions):
When you make a booking you guarantee that you have the authority to accept and do accept on behalf of your party the terms of these booking conditions. HC Bike Tours charges for its tours in American dollars (USD), euros (EUR), or the currency you agree with HC Bike Tours. The tour price is per person, based on double occupancy and includes the items mentioned in the itinerary. Single room requests are subject to supplemental charges, and must be requested at the time of booking. Tour capacity is limited to a maximum and a minimum number of guests. A reservation is made directly by contacting HC Bike Tours via email or phone.
HC Bike Tours will not be liable for any additional expenses incurred through delay, accident or disruptions of planned itineraries beyond our control, e.g. viruses like COVID-19, war, threat of war, riots, civil strike, terrorist activity, strikes, governmental action, natural disasters, extreme weather conditions, fire, technical problems of transport, closure of ports or airports, cancellation or changes of schedule by scheduled airlines, or similar events beyond our control. Such expenses are the responsibility of the guest.
Private Tours SPECIAL Booking Policy
Private Tours may have their own special Payment Terms and Cancellation conditions agreed with the group and stated in the itinerary.
In the case of a Private Tour group booking, the party leader shall ensure that each guest included within the group booking is acquainted with the itinerary and is aware of the Terms & Conditions. The party leader shall ensure that each guest complies with the Terms & Conditions thus making each guest also a party to the Contract. The party leader shall be responsible for the acts and omissions of each guest included within a group booking (including any failure by any such person to comply with any term of the Terms & Conditions).
Deposit To reserve a HC Bike Tours tour a deposit of USD 500 or EUR 500 per person is required. A reservation will not be considered to be finalized until and unless this deposit is received.
Final payment The balance of your payment is due 60 days prior to the tour departure date unless it is stated differently in the itinerary.

NOTE: No refunds or credits are possible 15 days or less before the tour begins. Any cancellation must be confirmed in writing and sent to HC Bike Tours email info@hcbiketours.com.
No exceptions made for injuries, personal health problems, work or travel related issues. HC Bike Tours advises you to arrange your travel insurance at the time of reserving your tour and refer to your insurance company’s cancellation/refund policy.
Payment methods We accept payments by credit card or direct transfer to our bank account. Please note that an additional fee of 5% may be charged for payment by credit card.
Tour Alterations & Cancellation
HC Bike Tours reserves the right to make hotel and route modifications which become necessary due to circumstances beyond our control and undertakes to inform participants as soon as possible.
HC Bike Tours reserves the right to cancel the tour 30 days prior to the tour departure date. In these circumstances, you will be entitled to book any other available HC Bike Tours tour. If the cost is less, you will be refunded the difference, but where the cost is more, you will be expected to pay the additional cost, or alternatively, HC Bike Tours will provide a full refund of money already paid. This will constitute full settlement. Refunds are paid by direct bank transfer.
HC Bike Tours is not responsible for expenses incurred in preparation for any cancelled tours, such as airline/rail tickets. HC Bike Tours recommends that you get travel insurance that covers these expenses.
Special requests
In planning a trip, in case of any client special needs (including, but not limited to dietary or health concerns), immediately notify HC Bike Tours of the details and requirements first orally and also in writing by e-mail. This will ensure that HC Bike Tours can arrange to provide all the services (and adjust fees if necessary) to ensure the client’s ability to fully participate in the tour.
Travel Insurance
Clients are responsible for having adequate travel insurance covering COVID-19, accident, personal injury, loss of luggage and cancellation. HC Bike Tours is not liable for personal injury, death, damage to property or other loss whether arising from accident, cancellation, delays or any other matter beyond our control.
Passport
A valid passport is required to gain entry to countries outside your country of residence. Clients are responsible for ensuring that their passport is valid and also for ensuring they have the correct visa required to enter the country of the tour. Foreign nationals are advised to contact their local embassy to check their visa requirements.
All bike rentals must be reserved, and full payment must be made, before the start of your rental.
An inspection of the bike will be performed in your presence when the bike is handed over to you. Please make sure that any damages, scratches etc. are included in the Bike Inspection Report.
During the rental, the bike remains the property of HC Bike Tours and you will not rent, sell or otherwise part with the bike. You will take reasonable precautions to avoid theft and damage.
You undertake not to misuse the bike and to return it to HC Bike Tours in the same condition as it was delivered to you (normal wear and tear excepted).
During the rental period, HC Bike Tours will make all reasonable endeavors to replace or fix any malfunctioning components. If problems arise due to your misuse of the bike or otherwise violating the terms herein, HC Bike Tours reserves the right to cancel the rental contract.
In the event of a major breakdown, caused by your misuse of the bike, HC Bike Tours cannot be held responsible for providing a replacement frame or component.
In the event of the bike being stolen or lost during the rental period, or in the event of a major breakdown, HC Bike Tours is entitled to charge you the original purchase price of the bike.
HC Bike Tours is entitled to charge you for any damage to the bike, caused by you, during the rental period.

The cancellation must be confirmed in writing and sent to HC Bike Tours email info@hcbiketours.com.
